How to set up your showing days

Updated Oct 28, 2026

A showing day looks like four hours of driving and talking. Most of the work happens around it: requesting times, confirming with listing agents and buyers, getting access details, planning the order, and following up after. When that work slips, the day does too: a lockbox code you don't have, a buyer who forgot the time, feedback nobody asked for. This guide sets up the day so you spend it with your buyer, not on your phone.

Step 1: Request the showings in one batch

Once your buyer picks the homes, request every showing at once, with two or three time windows for each. One batch of requests gets answers faster than requests sent one at a time between other tasks, and it shows you early which homes won't fit the day.

You do

  • Picking the homes with your buyer

Hand off

  • Sending each showing request with its time windows
  • Tracking which requests are confirmed, pending, or declined

Step 2: Confirm with everyone the day before

The day before, confirm each time with the listing side, and send your buyer the plan: the addresses, the times, and anything to bring. Get the access instructions now, not in the driveway.

You do

  • A short call with your buyer about what to look for

Hand off

  • Confirmation messages to the listing agents and your buyer
  • Collecting the access instructions for each home

Step 3: Plan the order around the clock, not the map

Order the homes by their confirmed times first, then by distance. Leave a buffer between homes for traffic and for the buyer who wants a second look. A tight schedule that runs late costs you the last showing of the day.

You do

  • Setting the order: which home to see first, and which to save for last

Hand off

  • The final schedule for your buyer, drafted for you to send

Step 4: Spend the showing on your buyer

During the showing, watch what your buyer notices and listen to what they say. That is what tells you what to show next and which home they will offer on. Write two lines after each home, not during it.

You do

  • The showing itself

Hand off

  • Turning your notes into a short summary for each home

Step 5: Follow up the same day

Send your buyer a recap the same evening, while the homes are fresh, and ask the listing agents for feedback the next morning if you need it. If one home stood out, that call is yours to make tonight.

You do

  • The call about the home that stood out

Hand off

  • A recap for your buyer, drafted for you to send
  • Feedback emails to the listing agents

Where Reddy fits

When a showing request or a question comes in by phone, Reddy answers calls on your Reddy line and keeps a record of what was said. It also writes your confirmations, recaps, and feedback requests as drafts in your own mailbox, so you review and send them yourself.

The buyer, the homes, and the advice stay with you.
