Four Seller Email Templates and When to Send Each One

Copy four seller email templates for scheduled progress reports, date confirmations, price-review conversations, and specific price recommendations.

A seller email workflow needs four messages: a progress report on fixed dates, a same-day confirmation whenever an appointment or event is scheduled, a price-review email when listing activity raises a concern, and a specific price recommendation when the numbers support one.

Copy the templates below, replace the bracketed fields, and assign each message a trigger, an owner, and a review date. Price emails should not run automatically. An agent should review the listing data and decide whether the message is warranted.

Put the four emails into your listing workflow

Record the dates, triggers, owner, and approver in the listing record.
EmailWhen to prepare itWhen to send itRequired inputs
Progress reportBefore each fixed reporting dateOn the reporting dates selected when the listing startsActivity since the previous report, showing feedback, current work, and next steps
Date confirmationAs soon as an appointment or listing event is scheduledThe same day the date is setEvent, date, time, location, access plan, and seller preparation
Price-review conversationOn a planned review date when activity or repeated feedback deserves discussionAfter the agent reviews the current evidenceShowings, inquiries, offers, repeated feedback, and relevant competing or sold properties
Specific price recommendationWhen the agent has enough current information to recommend a numberAfter checking the proposed price and estimated seller netCurrent price, recommended price, supporting comparison, and estimated net at the proposed price
  1. Choose the progress-report dates. For example, use the middle and end of each month, or select one recurring date that fits your team.
  2. Choose the first price-review date and add the next review date after each review. The date prompts a decision; it does not require a price email.
  3. Assign one person to collect the inputs and draft each message.
  4. Record the seller's preferred language and the agent who will approve the final version.
  5. Require the agent to check names, dates, activity counts, prices, and net estimates before sending.
  6. Save the sent email with the listing record so the next update starts with the correct reporting period.

Template 1: Scheduled seller progress report

Use the same reporting period and categories each time so the assistant knows what to collect. The report can include activity, feedback, work completed, and the decisions or next steps that need the seller's attention.

Subject: [Property address] progress report for [reporting period] Hi [Seller first name], Here is your listing update for [start date] through [end date]. Activity • Showings: [number] • Inquiries: [number] • Offers: [number or “No offers during this period”] • Online activity we are tracking: [verified number or brief summary] Feedback [Summarize the specific feedback received. Separate one-time comments from concerns that have come up more than once.] Work completed [Marketing, follow-up, open house, agent outreach, listing updates, or other completed work. Include only work that occurred.] Next steps [State what the team will do next and any decision needed from the seller.] Our next scheduled report is [date]. I will contact you sooner if an offer or another decision needs your attention. Thank you, [Agent name]

Listing teams that use Reddy ask it to prepare progress-report drafts before their mid-month and month-end dates. Reddy builds each draft from that listing's team Slack channel and email threads since the previous report; the assistant reviews the draft, requests changes, and the team sends the report.

Template 2: Same-day date confirmation

Use this confirmation for an open house, photography appointment, inspection, showing window, or another listing event. Send it on the day the date is agreed, even when the event itself is weeks away.

Subject: Confirmed: [event] at [property address] on [date] Hi [Seller first name], This confirms the following listing event: Event: [event] Date: [day and date] Time: [start time and end time, including time zone if useful] Location: [property address or other location] Access: [who will provide access and how] Before the event, please [seller preparation, or “No action is needed from you”]. Our team will [team responsibility]. Your contact for any day-of changes is [name and phone number]. Please reply if any detail above is different from what you expected. Thank you, [Agent name]

Our users settle these questions with the record. When a seller said the team had announced an open house for Saturday, the agent asked Reddy to check. Reddy found the two emails from the agent that named Sunday, gave the date and time each was sent, and gave the subject line, so the agent could show the seller the email.

Template 3: Price-review conversation

This is the earlier of the two price emails. Use it when the agent sees activity or repeated feedback that deserves a conversation but is not yet ready to recommend a specific new price. Easy Agent Pro's seller email example distinguishes a single showing comment from feedback that appears again, which is a useful way to frame the discussion without presenting one response as a pattern.

Subject: Price review for [property address] Hi [Seller first name], I reviewed the listing activity through [date]. Here is what we have so far: • Showings: [number] • Inquiries: [number] • Offers: [number] • Feedback that has come up more than once: [summary, or “No repeated concern yet”] • Relevant competing or recently sold properties: [brief factual comparison] I would like to review this with you before we decide whether the price should stay where it is or change. I am not recommending a new number in this email. Can we talk on [date] at [time]? I will bring the current comparison and the questions we need to answer. Thank you, [Agent name]
  • Remove any metric the team cannot verify.
  • Describe feedback without naming a prospective buyer.
  • Keep one-time comments separate from repeated feedback.
  • End with a specific proposed time for the conversation.

Template 4: Specific price recommendation

Send this version only after the agent has reviewed the current listing results, relevant comparisons, proposed price, and estimated seller net. Easy Agent Pro's price-reduction example uses the listing's days on market, showings, online views, offers, nearby sale prices, and a proposed new price. Use only the fields you can verify for the listing.

Subject: Price recommendation for [property address] Hi [Seller first name], I reviewed the listing results through [date] and updated the pricing comparison. Current list price: [current price] Listing activity: [number] showings, [number] inquiries, and [number] offers Repeated feedback: [summary] Relevant price comparison: [brief comparison using the checked properties] Based on those numbers, I recommend changing the list price to [recommended price]. At that price, the current estimated seller net is [estimated net or range], using [name or date of estimate]. The estimate should be reviewed again if the price, credits, payoff, dues, commission, closing date, or other inputs change. I have attached [updated comparison, seller net estimate, or both]. Can we discuss the recommendation on [date] at [time]? Thank you, [Agent name]

Our users ask Reddy to work back from the net a seller wants. In one listing, the seller's estimate showed a net of about $441,000, and the seller wanted to net $480,000. Reddy worked back from the estimate's costs: a sale price of about $521,000 nets $480,000, and the $560,000 list price nets about $516,500, so there was about $39,000 of room to reduce. The agent asked to try a $520,000 sale price and asked Reddy for a seller net sheet.

Activate the workflow for each listing

Complete this setup when the listing enters your system. The fixed dates keep reporting work visible, while the conditional triggers prevent a price message from going out without an agent's judgment.

  • Progress-report date or dates: [dates]
  • First price-review date: [date]
  • Next price-review date: [date or rule for choosing it]
  • Same-day confirmation owner: [name]
  • Progress-report drafter: [name]
  • Price-data owner: [name]
  • Final approver: [agent name]
  • Seller's preferred language: [language]
  • Location of sent emails and supporting numbers: [listing record or folder]

After every progress report or price review, record the next date before closing the task. When an appointment or event is scheduled, create the confirmation task for that same day rather than waiting for the next reporting cycle.
